During the thesis, the Doctoral School monitors the progress of the work and the conditions under which it is carried out.

Follow-up of doctoral students during the course of their thesis is mandatory (Unistra thesis charter). The meeting of the CSI (Comité de Suivi Suivi Individuel) provides an opportunity to review the progress of work, any difficulties encountered and any changes to the initial subject.

The doctoral student sets up his or her CSI during the first few months of the thesis (see document “Implementation CSI_ED413_EN”) and uploads it to his or her AMETHIS account. The composition of the CSI must be validated by the thesis director and then the Doctoral School director before its first meeting.
The CSI must meet every year before each re-registration. Deadlines are before June 30 for 1st and 2nd year doctoral students, and before April 30 for 3rd year doctoral students and above. This is to enable the Doctoral School to anticipate any difficulties and allow re-enrolment.
The members of the CSI write up a report (see document “form_CSI_ED413_EN”), which is uploaded to AMETHIS for validation by the Doctoral School director.

Doctoral students are reminded that they may, if they wish, meet with one or more members of the Doctoral School board at any time during their thesis, to discuss any difficulties they may encounter in the course of their work.

have defined and discussed a thesis project with a thesis director
have funding for 3 years

When should the application be prepared

NEW (since 23 January 2024) ED 413 thesis Committee will be meeting on a fixed date to evaluate the defence applications.

Applications must be sent !! at the latest 10 weeks !! before the defence and will be examined by the Thesis Committee. Please follow the timetable below to ensure that your defence application is processed by the Thesis Committee according to the given dates.

Deadline for submission of defence applications are as follows: 19 February, 15 April, 01 July, 16 September and 02 December 2024.

Training summary, scientific meeting, scientific article

In addition to the PhD dissertation the doctorates need to validate :

54 hours of scientific training
54 hours of transveral training
a presentation to a national or international meeting
a submitted article in an international journal
participation to the follow up of the PhD (pre-registration auditions)

These requirements must be fullfilled when the PhD committee application is transmitted to the secretary of the Doctoral School.
For the training summary, doctorate must provide certificates and a list of the training courses.

How to register

In any case, before starting registration, a personal contact with a PhD advisor is necessary (see Research Departments affiliated to the Doctoral School) to define a PhD thesis project and its associated funding.

Case 1 : You hold a university diploma delivered by a foreign university

Before registering, you will have to file an exemption application record (see below)

Case 2 : You hold a french master degree or DEA delivered by a french university

You have to :

Once you obtain your login and password by email, you must complete an online folder and specify the name of your future Research Department, the title of your thesis, the name of your supervisor.

You will also need to upload online:
an outline of the thesis project (3 pages)
a curriculum
a copy of your master's degree or the validated exemption application, and your Master's degree transcripts
a report of the interview signed by the PhD advisor, the Departement director (interview jury with 3 members from at least 2 of the Departments of the Doctoral School)
proof of funding (copy of the working contract or grant certificate or any another document that justifies a monthly income for at least 3 years)
the signed Doctorate Charter - the Charte does not need to be signed by ED 413 at this stage
the signed doctoral school rules

Once your file is completed it needs online approval by the PhD advisor and by the director of the Research Department

Then you must make an appointment with the director of the doctoral school to validate the whole application.

Then you will proceed to the second step called administrative registration.

DOCTORAL SCHOOL COUNCIL

The council consist of :
the doctoral school board
the directors of the research departments
the director of EOST
the dean of the Geography Department
the representative of the technical staff
3-4 elected representatives of the doctorates
external members

The council meets at least once in the year to discuss the doctorate funding proposition and evaluate the candidates.

The Unistra vice President of the Doctorate Research and Training, the representatives of the Masters associated to the doctoral school are associated to the council.

BOARD

The board evaluates the thesis projects proposed by the Research Departments. The board ensures the PhD candidates grades and trainings reach expected level.
The board members are :
Doctoral School director and deputy director, the directors of the Research Departments, a representative of the EOST Masters and a representative of the Geography department Masters.

THESIS COMMISSION

The commission validates the PhD defense applications and the exemption applications. This commission convenes whenever needed. The commission members are the Doctoral School director and deputy director, and 3 representatives of the Research Departments.

WHAT IS A PhD ?

It is a post-graduate degree (Ministerial act passed 26 May 2016)

What is it to be a PhD student or Doctorate ?

As a post-graduate student, you will work towards your PhD, the highest level of academic degree, whilst carrying out your first professional research experience.

THE PhD STUDENT AND THE DOCTORAL SCHOOL

The main goal of the school is to ‘organise the training of post-graduate students, and to assist their integration into the world of work'.

The Doctoral School :

Provides a range of complementary training.

Ensures compliance with the rules set out in the PhD Charter from the University of Strasbourg for post-graduate students, their supervisors, and the directors of the research departments. This is in order to guarantee a high quality research, and the smooth-running of the PhD.

Sets the rules for post-graduate recruitment.

The PhD Student :

Receives training in research and through research.

Is prepared to continue his/her professional career at the end of the PhD, through additional teaching

Agrees to comply with all the rules and principles of the Doctorate Charter from the University of Strasbourg.
